Last updated: September 2026

This Privacy Policy explains how Elite Leisure Collection Limited ("we", "us", "our") collects and uses your personal data in connection with Christmas at Bewl Water and the christmas.bewlwater.co.uk website. We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. What We Collect

We may collect the following categories of personal data:

  • Booking data: name, email, phone number, postal address, children's first names and any wishes or interests provided to personalise the Santa visit, vehicle registration where supplied for parking, and details of accessibility requirements.

  • Marketing data: the email address (and any preferences) you provide when you sign up for our updates or mailing list.
  • Technical data: IP address, device and browser information, pages visited and referring URL. Collected through cookies and similar technologies in line with our Cookie Policy.
  • Correspondence: any information you share when you contact us by email, phone or social media.

2. How We Use Your Data

We process your personal data for the following purposes and on the following lawful bases:

  • To fulfil your booking (contract): confirming purchase, personalising the Santa visit, managing entry on the day, issuing parking permissions, and providing customer service.
  • To send transactional communications (contract): booking confirmations, schedule updates and pre-arrival information.
  • To send marketing emails (consent): only where you have opted in. You can unsubscribe at any time using the link in any email.
  • To improve and secure our website (legitimate interests and, for non-essential cookies, your consent): analytics, fraud prevention and service performance.
  • To comply with legal obligations (legal obligation): accounting records, health and safety, and responding to lawful requests from regulators or law enforcement.

3. Who We Share Data With

We share personal data only with carefully selected processors who provide services on our behalf, including:

  • Our email and CRM provider for transactional and (with consent) marketing emails.
  • Our website hosting and analytics providers.
  • Our parking management contractor for ANPR enforcement.
  • Professional advisers (legal, accounting) where strictly necessary.

We share limited booking details, such as your email address in scrambled (hashed) form, with Google to measure how well our advertising works.

We do not sell your personal data. We may disclose data where required by law or to protect the rights, property or safety of our guests, staff or others.

4. International Transfers

Some of our providers may process data outside the UK. Where they do, we rely on adequacy decisions, the UK International Data Transfer Agreement, UK Addendum to the Standard Contractual Clauses, or another lawful transfer mechanism.

5. How Long We Keep Data

  • Booking and ticketing records: up to 7 years (for accounting and HMRC).
  • Marketing contacts: until you withdraw consent or after 24 months of inactivity.
  • Website analytics: as set out in our Cookie Policy.
  • Customer correspondence: up to 24 months after resolution.

6. Your Rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Have inaccurate data corrected.
  • Request erasure where the data is no longer necessary.
  • Restrict or object to processing in certain circumstances.
  • Data portability for the data you have provided to us.
  • Withdraw consent at any time where processing relies on consent.

To exercise any of these rights, email christmas@bewlwater.co.uk. If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

7. Children's Data

Our website and ticketing platform are intended for use by adults aged 18 or over. Where bookings include children, the booking adult is responsible for the data provided about their child. We minimise the data we hold about children to what is needed to personalise the experience on the day.

8. Security

We use appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure and loss, including encrypted transport (HTTPS), access controls and processor due diligence.
